The basics

4
What is Hatchly, in one sentence?
An income tracker for self-employed and 1099 workers. It assembles what you were paid, by whom, on which day, and totals it, so you can answer basic questions about your own money without an afternoon and a spreadsheet.
How is it different from QuickBooks or FreshBooks?
Those are built to find your deductions or send your invoices. Hatchly is built to show your income. It is the only one of them with a payer by month grid and a year against last year comparison. See the comparison, where every price came from the company's own pricing page.
Who is it for?
Two groups with the same broken picture. Gig workers, drivers, couriers, musicians, creators and freelancers whose money lands from several places at once. And LLC owners running salons, trades, food trucks and studios, where not knowing real profit turns every tax decision into a guess.
Do I need to be incorporated?
No. Most people using it are sole proprietors with no entity at all. The entity features exist for people who have one, and stay out of the way if you do not.

Getting your income in

5
How do payments get into Hatchly?
Type or paste them, or import a spreadsheet you already keep. Quick Capture reads a line the way you would say it, works out the payer, amount and date, and shows you a card to confirm. It never saves without you confirming.
Can I connect my bank?
Not yet. Bank connections are planned and deliberately not built. The reading that turns a bank line like `SQ *TONIC SOL FA MINNEAPOLIS MN` into the right payer has not been proven against real bank data, and connecting accounts before that works would just move the guesswork somewhere you cannot see it. Import and Quick Capture are what exist today.
I have thirteen years in a spreadsheet. Does that come across?
Yes, that is the case the import was built for. Map your columns once and the history comes in. Hatchly started life as exactly that spreadsheet, so the shape of yours is probably already familiar to it.
Can I get my data back out?
Yes, at any time, as CSV. Copy the income matrix straight into a spreadsheet, or export the full ledger. Knowing your data comes back out is the thing that makes leaving a spreadsheet feel safe, so it is not gated.
What is a payer?
Whoever pays you. A venue, a client, an app, a customer. Rename one and every past payment updates with it, because payments point at the payer rather than storing the name on each row.

Taxes

4
Does Hatchly file my taxes?
No. It is not a tax preparer, an accountant, or a financial adviser. It works out what your income says you should be setting aside and when it is due. Moving the money and filing the return are yours to do.
How much should I set aside?
That depends on your profit, your filing status and your state. The reserve calculator gives you an estimate, with a simple flat-rate mode and a calculated mode that walks the brackets. Every figure is labelled an estimate, and the assumptions are one tap away.
Why are the quarterly dates not three months apart?
Because the IRS payment periods are not calendar quarters. The second is two months long and the fourth is four. Divide your year into quarters and you will be late in June and early in January. Hatchly uses the real periods.
Does Hatchly hold the money I set aside?
No. It never holds or moves money. You move it yourself, in your own bank. Hatchly tells you the number and the date and nothing else.

Why the dates look wrong

Four periods. Not four quarters.

Each bar is as wide as the period is long. Divide the year into equal quarters instead and you are late in June and early in January.

The default reserve

$1,000 arrives.

Simple mode holds back a flat 30% of net profit, and you can change the rate. Hatchly never moves the money: you do, in your own bank.

Retirement

3
Can I open a retirement account through Hatchly?
No. Hatchly is not an IRA custodian, a broker-dealer, or a registered investment adviser. It shows what your logged income says you are able to contribute, and you open the account yourself with a custodian.
Which account type is right for me?
That is a decision for you and a tax professional. The comparison lays out four account types evenhandedly, with the detail most people miss: a Solo 401(k) can contain a Roth, and that Roth has no income limit.
My income swings wildly. Does that rule these out?
No, it is the case they handle best. Your ceiling is worked out from that year's earnings, so a strong year allows a large contribution and a thin year allows a small one or none. Nothing carries forward and nothing is owed.

Expenses

3
Does Hatchly decide what is deductible?
No. It records what you categorised something as. Whether a given expense is deductible is a facts and circumstances judgment that belongs to you and your accountant, and the interface does not borrow it.
Will it guess categories for me?
It learns them. The first time you categorise a merchant, that becomes a rule, and everything matching it afterwards arrives pre-classified. Where there is no rule, it will not guess into a deduction. A missed deduction costs the tax on that amount. A wrong one costs tax plus penalties plus interest, so the two are not treated as a coin flip.
What about things that are half personal?
Today Hatchly records the full amount against a category and does not split it. Business-use percentages for mixed expenses are not built yet. If you want only the business share recorded, enter that share as the amount and note why. This is a real gap and we would rather say so than imply a split that is not there.

Pricing

3
What does Free actually include?
Everything currently built. Plan limits are not enforced yet, so today every account sees the full app. The intended shape is that seeing your own numbers stays free on principle, with bank connections on a paid plan once they exist.
Why will the bank connection be a paid feature?
Because the provider charges per connected account every month, for as long as it is connected. Free bank access does not scale. That is a cost reason, not a product one, and it is the honest answer.
Can I pay for a year?
The intended pricing is Base at $7 a month or $70 a year, and Pro at $29 a month or $290 a year. There is no checkout yet. See pricing.

Intended pricing

Three plans, one of them free.

Billing is not switched on yet, so nobody can be charged. Seeing your own numbers stays free either way.

Your data

4
Who can see my records?
You. Every table is locked to your account at the database level, not just hidden in the interface.
Can I give my accountant access?
Not yet. Accountant access is planned and not built. We are not going to ship it until it is a real permission boundary enforced at the database, because a link that merely hides the edit buttons is not access control and would be worse than having nothing. For now, export what your accountant needs as CSV.
Does Hatchly sell or share my financial data?
No. There are no analytics scripts, tracking pixels or third-party tags on these pages.
What happens if I stop paying?
Your data stays yours and stays exportable. Paid features switch off, the records do not disappear.

What Hatchly will not do

3
The short list
It does not file taxes, run payroll, send invoices, keep double-entry books, hold or move money, or give advice. It is not a bank, a broker, a custodian or an adviser.
So what is it for, then?
Knowing where you stand. What came in, from whom, on what day, added up, with what you should set aside kept in view. Not so you can file. So you can know.
Will it tell me when I need a real accountant?
That is the intent. Hatchly does not replace a full-service firm. It tells you when you are ready for one.

Still not answered?

A person reads every message, and replies within 24 hours.

Nothing here is tax, legal or investment advice. Hatchly informs and prepares. Figures it produces are estimates based on the income you have logged. Confirm anything that matters with a professional who knows your situation.
