Know which units paid, which are behind, and by how much.
If you rent out a unit or a building on top of your other work, Hatchly tracks what each unit owed every month against what actually arrived. It is kept apart from your 1099 income, because rent is taxed differently.
Every payment has two dates, and the difference matters.
One date is when the money arrived. The other is the month it was for. A tenant who pays March’s rent on April 3 was late, not short, and March still counts as paid. A tenant who sends $900 of a $1,200 rent was on time and short by $300.
Most spreadsheets keep one date and lose that difference. Hatchly records both, which is the only way to tell a late month from a missing one.

- Unit 1A paid March on April 3. It sits in March, because that is the month it was for, and the unit reads Paid.
- Unit 2B sent $900 for May and nothing yet for September. Both count, so it reads Behind by $1,500. A later overpayment would never quietly cancel out the missed May.
- Unit 3’s lease ended in July. Empty months are Vacant, not unpaid, so they never count against it.
What each status means.
Due, then Behind
Rent is due on the 1st. Through the 5th the month reads as Due, so looking on the 2nd does not show the whole building behind. After that, any month that came up short counts, and the unit reads Behind.
Paid and Part paid
Paid means this month’s rent has arrived in full and nothing earlier is owed. Part paid means some of this month has arrived.
Vacant
Worked out from the lease dates. A month outside the lease was not owed, so it can never be counted as missed.
Arrears, month by month
What is owed is added up one month at a time across the whole tenancy, so an earlier shortfall stays visible even after later months are paid.
Rent is not 1099 income, so it is not counted as one.
Rental income is reported on Schedule E. Self-employed income is Schedule C. Rent carries no self-employment tax and has its own deductions, so none of it reaches your Income Log, your tax reserve, or your insights. Mixing the two would overstate what you owe on your 1099 work.
Figures are gross rent, as received. When you want them in a spreadsheet, copy the year straight out and paste it in.
What it does not do.
- It does not collect rent or connect to any tenant, bank or payment app.
- It does not send reminders or messages to tenants.
- It does not calculate depreciation or prepare Schedule E.
- It is not property management software: no maintenance requests, listings or tenant screening.
